Add a new product
Create a product in the WiPOS Dashboard so it can be sold at your counter. You only need three things: a barcode, a name and a selling price. Everything else is optional.
In short
- Go to Inventory › Product and click + New Product.
- Fill in Barcode, Product Name and Selling Price.
- Optionally add a photo, category, cost price and opening stock.
- Click Add Product.
Open the Product page
Sign in at dashboard.wipos.cc and pick your business. In the left menu:
- 1 Click Inventory to expand it.
- 2 Click Product.
Click “New Product”
You'll see all your existing products, with your stock value and stock counts at the top. Click the green + New Product button above the list.
Get to know the form
The New Product page has four sections — Product Photo, Basic Information, Pricing and Stock & Availability. On the right, a Preview card shows how the product will look as you type. The Cancel and Add Product buttons stay at the bottom of the screen.
Fields marked with * are required.
Fill in the details
Add a photo Optional
Click the dashed box and choose a picture from your computer. WiPOS automatically resizes it, so any normal photo works. Once added, use Change Photo to replace it or Remove to delete it.
Enter the basic information
- 1 Barcode * — scan the product with a barcode scanner, or type the number. For items without a barcode (e.g. drinks, services), make up a short code such as
KOPI01. Each barcode can only be used once per business. - 2 Unit — how it's counted: pcs, cup, box, kg… If left empty it becomes pcs.
- 3 Product Name * — the name staff see at checkout and customers see on the receipt.
- 4 Category — groups similar products together. The number in brackets shows how many products are already in it.
Create a new category If needed
If the category you want isn't in the list:
- 1 Choose + Add Category at the bottom of the Category list.
- 2 Type the new category name in the box that appears.
The category is created automatically when you save the product.
Set the price
- 1 Selling Price (RM) * — what the customer pays.
- 2 Cost Price (RM) — what the item costs you. Optional, but fill it in so your profit & margin reports and stock value are accurate.
Add variants Optional
Use variants when one product comes in different sizes or options, each with its own price — for example Regular and Large.
- 1 Tick Has Variants. One empty row appears.
- 2 For each variant, enter a Name and Price (both required). UOM and Qty are optional.
- 3 Click + Add Variant for more rows, or × to remove one.
Add an extra charge Optional
An additional price is added on top of the selling price every time this product is sold, e.g. a cup fee on a drink that's only sold to go. If staff should add it only sometimes, e.g. only for takeaway orders, use Global charges instead.
- 1 Tick Has Additional Price.
- 2 Choose RM (Flat) for a fixed amount or % (Percent) for a percentage of the price.
- 3 Enter the amount.
- 4 Optionally describe it (e.g. “Takeaway cup”).
Set stock & availability
- 1 Sell by Weight — leave off for normal items. See the next step for weighed items.
- 2 Backorder Allowed — tick to let staff keep selling when stock reaches zero.
- 3 Low Stock Alert — when stock falls to this number, the product is flagged as Low. Default is 5.
- 4 Initial Stock Balance — how many you have right now.
Items sold by weight If needed
For produce, meat, dry goods and anything priced per kg:
- 1 Tick Sell by Weight. The weight is entered at checkout, so there's no stock count to fill in. Set the Selling Price as the price per unit (e.g. per kg).
- 2 Tick Uses Digital Scale if you use a label-printing weighing scale. The Barcode field then holds the scale's PLU / item code.
- 3 Backorder is switched on automatically, because weighed items don't track stock.
Save and check
Check the preview and save
- 1 Look over the Preview card: name, category, barcode, price, cost and stock.
- 2 Click Add Product. The button shows “Adding…” while it saves.
If you see a red message
If something is missing, the product isn't saved and a red message appears above the buttons. Fix the field and click Add Product again.

| Each variant needs a name and a valid price. | Fill in the Name and Price on every variant row, or remove empty rows with ×. |
Done — find your product
You're taken back to the product list and the new product is there. Type its name in the search box to find it quickly. Your WiPOS devices pick up the new product the next time they sync.
